Workflow mapping
We document your real process in a flow you can read, marking the slow steps, duplicate entry and the handoffs that cause chasing. You get this written map before any build starts.
We map where your work stalls, then build the automation that clears it. Invoices, quotes, reports and support replies move without someone retyping them.
Most Omani businesses do not have a software problem. They have a handoff problem. A quotation arrives by email, gets retyped into Excel, chased by phone, then approved by someone who was in a meeting. Every handoff adds delay and error. We start by mapping those paths: which system the work enters, where it waits, who touches it, and what triggers the next step.
Delivery is deliberately unglamorous. We build flows in n8n or Make so your team can see and adjust them, connect models through the OpenAI or Anthropic API where judgement is genuinely needed, and put a human review step in front of anything that touches a customer or money. Arabic and English content runs through the same pipeline, with prompts and guardrails tuned on real sentences from your business rather than test data.
Every engagement includes documentation, handover and a named contact.
Six automations we deliver most often for Omani and GCC businesses, each scoped to a measurable number of staff hours.

A support agent grounded in your own documents and past replies, handling Arabic and English questions around the clock. Unanswered cases route straight to a named person with the transcript attached.
PDF, scanned or photo invoices are parsed into structured rows with supplier, VAT, totals and dates. Figures are checked against your totals before posting, and low-confidence items wait for approval.
Inbound enquiries are scored on fit, budget and intent, then sorted, enriched and pushed to your CRM. Your sales team opens a filtered list instead of an unranked inbox.
Staff ask plain questions and get answers sourced from your SOPs, contracts and price lists. Every response cites the document it came from, so nobody acts on a guess.
Nightly pulls assemble your sales, cash and operational figures into one view, with variance flags where a number moved unexpectedly. Owners receive only the sections they are responsible for.
Workflows, prompts and code live in your repository and your accounts. If we disappear tomorrow you can still run and edit everything, with no licence locked to our platform.
Every AI action has a defined confidence floor. Below it, the case stops and a person decides. You set the threshold, and we log who approved what.
We test against your actual invoices, replies and dialects, not translated samples. Gulf phrasing, mixed Arabic-English messages and PDF layouts get specific attention.
We pilot one high-volume process, measure the hours saved and the error rate, then extend. If a flow is not paying for itself, we say so and stop.
Records remain in your tenancy or your chosen cloud region, with retention rules you set. Nothing is parked on infrastructure we control or resold to others.
Automating KYC document review, statement reconciliation and credit file assembly without moving confidential records outside approved storage.
Turning supplier invoices, timesheets and inspection reports into structured data for joint venture billing and project costing.
Routing appointment requests, extracting lab result fields and drafting Arabic replies while clinical decisions stay with staff.
Extracting consignment details from delivery documents and pushing status updates to customers automatically, in Arabic and English.
Classifying inbound order enquiries, flagging fraud signals and rebuilding daily sales summaries without manual spreadsheet work.
Matching purchase orders to delivery notes, tracking variations and preparing progress claims from site paperwork.
Five stages. You see working output from stage three, not a slide deck.
We sit with the people doing the work and time the actual steps. The output is a written map of volume, wait time and error points, prioritised by hours lost.
We pick one process with high volume and clear rules as the first build. It is usually invoices, lead handling or a reporting pack, and it is your choice.
We design triggers, data fields, model prompts and approval gates together, then show you the flow diagram before connecting anything to live systems.
Flows are built in n8n or Make and wired to your ERP, CRM, email or WhatsApp through documented APIs, with credentials stored in your own environment.
After go-live we watch accuracy, exception rates and hours saved weekly, then tighten prompts, thresholds and routing based on what the logs show.
A single workflow pilot typically lands in the low five-figure OMR range depending on how many systems it touches and how much document parsing is involved. Multi-process programmes are quoted per phase. You get a fixed price for the pilot after the audit, before any build work starts.
Not if the review gate is set properly. Replies are drafted against your approved content, confidence is scored, and anything under your threshold goes to a person for approval. You decide the threshold. Early in a rollout most items are reviewed; that ratio improves as the model learns your preferred phrasing.
Arabic and English both work, but they need separate testing. Gulf business Arabic mixes English terms into Arabic sentences constantly, which we test explicitly. We validate against your real messages and invoices, and flag anything the model reads with low confidence rather than guessing.
No. Automations run inside your tenancy or your chosen cloud region, and data is not retained on anything we control. If you use model APIs, we configure the zero-retention options and keep personal data out of prompts wherever the task allows it.
Failures route to a human rather than disappearing. Every run is logged with its inputs and outputs, and a failed step raises an alert to a named owner. You also get documentation and exported workflows you can maintain or hand to another developer.
Only what you choose. We can build everything to run on your own accounts and servers with no licence from us, which means no recurring fee beyond your infrastructure and any model API usage. Some clients prefer a managed support retainer for monitoring and tuning, and that is quoted separately.
